The Administrative Analyst supports finance, doing project billing and costing. This position also includes front desk responsibilities such as answering the phones and greeting visitors. This person would work as part of a team, interacting with co-workers, Executives, Shared Services,  and Mine site engineering personnel as well as working diplomatically with client personnel.

General:

Accountable for timely accurate billing to clients as per contract guidelines

Complete month end invoicing requirements.

Assist Shared Services in resolving A/P issues as needed

Troubleshooting issues regarding purchase orders, invoices, reports, ESI-AP and JDE Systems.

Advise and assist suppliers as necessary to facilitate their use of ESI-AP (The Electronic Supplier Interface).

Accountable for accurate costs in general ledger, analyzing account discrepancies and identifying required billing adjustments

Accountable for opening/closing work orders and reallocation of work order costs

Make collection calls to the clients accounting personnel and prepare comments on detailed aging reports.

Assist bidding, Engineering with proposals and various project development documents

Compile the minutes from the weekly operations meeting on Monday mornings and distribute them by e-mail to the participants

Provide front line support by greeting visitors, and arranging meetings.

Answer and process incoming calls to the various departments and staff.

Program and maintain security alarm and fob entry system.

Sort incoming mail and parcels, coordinate and expedite shipments to and from projects and vendors

Be responsible for ordering office supplies and coffee supplies as needed.

Assist with travel requirements for various Redpath employees (Flights, Hotels, Rental Cars).

Be responsible for the general organization of the office

Working Conditions

Located in a comfortable indoor area. Conditions could produce mild discomfort on occasion. For example, moderate noise from the office equipment such as copiers and phones.

Exposure to deadlines, multiple demands, distractions/interruptions.

 

Physical Demands

Frequent periods are spent standing or sitting in the same location with some opportunity to move

Moderate lifting of supplies and packages

Mental effort to deal with multiple deadlines

Ability to juggle multiple projects of a cyclical nature.

Proactive in seeking out information and staying on top of project requirements.

 

Qualifications

Operate computer, respond to inquiries, present information, read documentation materials, resolve conflicts, problem solve, facilitate meetings.

Experienced in a full functioning ERP system in a high volume environment with exposure to automated payment processes.

Knowledge of general accounting

Intermediate Excel Skills.

Ability to work well with others in a team environment

Good verbal and written communication skills.

Ability to work under pressure and meet tight deadlines.

Be pro-active and able to take initiative.
