Job Summary:

The Project Services Coordinator is responsible for supporting Project Services related tasks such as proposal preparation, document controls, time keeping, invoicing support, cost reporting, marketing content creation and technical writing. The Project Services Coordinator will support various tasks related to estimating, project controls, project management, marketing/business development, document controls and contract administration.

 

Duties and Responsibilities:

 

  1. Prepare prequalification packages and Expression of Interest requests
  2. Oversee proposal (tender submission) production process
  3. Oversee regional office document control for engineering, estimating, contracts and project services
  4. Oversee file maintenance and tracking of proposal/client related information
  5. Oversee meeting minute production for Commercial Services within the Corporate office
  6. Resource for Redpath historical information inquiries, prepare historical write-ups and maintain library
  7. Research competitors’ active projects
  8. Assist with development of guidelines for the Project Management Office
  9. Write procedures/guidelines as related to documentation best practices
  10. Create PowerPoint presentations for special functions and Client meetings
  11. Compose original writing for proposal related marketing material
  12. Assist with wording in corporate profile, including quarterly updates
  13. Assist with shareholder reports and other ad-hoc reporting
  14. Provide Redpoint training, support, document uploads, etc.
  15. Maintain logs relating to proposals, clients, etc., including actions items & follow-up
  16. Type/edit letters and miscellaneous documents for proposals ensuring correct grammar, spelling and use of contract language
  17. Review tender requests to ensure non-estimating related requirements are met
  18. The duties and responsibilities listed above are representative of the nature and level of work assigned and are not necessarily “all inclusive”
  19. Maintain confidentiality with respect to Redpath and client information
  20. Administer time keeping requirements for consulting and smaller construction projects
  21. Prepare marketing content to support Business Development efforts
  22. Support basic cost reporting, change management and project reporting on consulting and smaller construction projects
  23. Creation of Notice of Project (NOP) after project award

 

Education:

  1. Required: Bachelor Degree or Equivalent Experience
  2. Preferred: Business, Accounting, Marketing, Construction Management, or Engineering

 

Work Experience:

  1. Required: 1 years’ related experience, if less than 1 year experience letter of recommendation and list of references (minimum)
  2. Preferred: 3+ years’ experience in a position with knowledge of contracts, proposal writing, stylistic editing, proofreading, invoicing, cost reporting and document control as related to manufacturing, construction and/or mining.

Knowledge Required:

  1. Knowledge of document control procedures and the process of proposal writing
  2. Excellent interpersonal skills with an ability to facilitate team commitment
  3. Excellent written and verbal communication skills (internally and externally) and demonstrated ability to work with Redpath management and clients
  4. Ability to multi task and work effectively
  5. Ability to work with multiple department managers
  6. Knowledge of legal and contract terminology as related to construction and/or mining
  7. Ability to prioritize and organize multiple requests
  8. Ability to work independently and collaboratively
